New Arrival Process at Hospital Outpatient Clinics Begins Nov. 12
MADISON – Outpatient clinics at University of Wisconsin Hospital and Clinics are introducing a new system for patient registration and appointment scheduling – all part of our efforts to transition to a new electronic health record that will offer our patients significant benefits.- First, each time you have an appointment, please go directly to the registration hub identified in the appointment reminder mailed to your home. Directions to your clinic's registration area are in the appointment reminder that's mailed to your home prior to your appointment date.
- Second, if your insurance requires a co-pay, we will collect the co-pay at the registration desk as part of the sign-in process for your visit. Registration staff will accept cash, check or credit card payment.
- For patients who will register for their clinic appointments in the hospital's Towne Square, we are introducing a new system in which patients will be given pagers for registration and outpatient lab check-in. This will allow patients to be comfortable in the Towne Square area while they wait for the next available person to assist them.
Parking validation will be available at all registration locations - your registrar will validate your parking for you at sign-in.
Please Arrive 30 Minutes Early
To ensure adequate time for sign-in before seeing your doctor, please arrive 30 minutes before your scheduled appointment time. Your cooperation in arriving early is greatly appreciated and makes for a smooth and timely visit. Thank you!
Why the Change?
These changes are part of UW Health's 4-year transition to an electronic health record and new billing system, which will have significant benefits for you as a patient:
- Your health information will be available to caregivers throughout UW Health, whenever and wherever it's needed
- You'll find more consistent practices across all UW Health clinics
- In the future, if you choose, you'll be able to access portions of your UW Health record online

In addition to appointment reminders mailed to your home that contain specific directions for your clinic and information about the change in arrival process, overhead signage in the parking ramp and driveways will direct you to the appropriate entrance. Inside the clinics entrance, as you enter Town Square, signs will direct you to the appropriate registration hub. Greeters and other staff will be available to assist patients.
